Block Management Services

Scribe Property Management works with lessees and freeholders of residential blocks of flats in Kent and East Sussex. Our services are tailored to suit the individual requirements of each block.

Finance Services

  • Invoicing and collecting service charges, ground rent and other charges where applicable
  • Arranging payment for regular service contracts such as gardening, cleaning of windows and common areas and lift servicing where applicable
  • Keeping detailed records of the Company finances and providing quarterly and annual statement of accounts
  • Providing an annual estimate of future expenditure for budgeting purposes
  • Administering funds and making payments to suppliers, contractors, insurance brokers and professional advisers as appropriate
  • Supplying information to accountants for annual certification and/or audit

Property Services

  • Quarterly visual inspections mainly for the purpose of the reporting of and dealing with minor repairs
  • Obtaining competitive estimates for repair work from reputable contractors.
  • Administering and arranging minor repair works
  • Administering and managing maintenance contracts such as gardening and cleaning as well as lifts (including major safety inspections)
  • Recommending building survey and reinstatement valuation every 5 years, administering and arranging same
  • Carrying out detailed inspections/surveys of the residential blocks and preparing reports identifying items that require attention over say a 5 year period including recommending time frames and urgency of dealing with the identified items including with a works budget cost schedule

Statutory Services

  • Submission of annual accounts to Companies House and HM Revenue and Customs.
  • Appraising Client and Leaseholders of new statutory regulations and ensuring compliance of both new and old regulations including the terms of the lease
  • Issuing Section 20 notices

General Services

  • Day to day correspondence with leaseholders, contractors and service providers.
  • Answering solicitors pre-sale enquires including completing LPE1 forms (See additional charges)
  • Instructing solicitors in relation to service charge arrears or other matters when authorised to do so
  • General management advice

Company Secretary Services

  • Arranging Directors Meetings and AGMs and serving notice to members
  • Taking and issuing Minutes of Directors Meetings, AGMs and EGMs
  • Maintaining the statutory register
  • Supplying a copy of year end accounts to all members
  • Ensuring that the required statutory forms such as annual returns, resolutions, and changes in Directorship are filed with Companies House within the time frame specified
